The following privacy statement provides information about the collection, use, processing and exchange of data of people who access our digital channels and consequently our academic programs and other activities of INCAE. Failure to accept this policy will result in NOT being able to access our services and/or activities.

1. GENERAL GUIDELINES OF THE POLICY ON DATA HANDLING TOWARDS OUR COLLABORATORS OR PERSONS INTERESTED IN A POSITION IN OUR COMPANY. INCAE

We process your collected information for the following purposes:

  1. Evaluate your application for the position and communicate the hiring decision to you.
  2. Manage DH related processes and facilitate operations such as payroll processing and other benefits.

What is our legal basis for processing?

We process your data for the purposes described above and to facilitate transactions requested by you and to fulfill our contractual obligations (e.g., administer payroll and employment relationships); for our business purposes (e.g., manage internal administrative tasks).

When a new staff and/or faculty member is hired, he/she must read and sign the confidentiality agreement which, for all purposes, seeks to protect personal and institute information in general. The agreement is entitled: "3. CONFIDENTIALITY AGREEMENT . INCAE". In case any collaborator has not signed the document upon joining the institution, he/she must comply with this action as soon as possible, but this does not exempt him/her from any misuse of the data used to perform his/her duties at INCAE, since each country has its own legislation in this regard.

 

2. GENERAL GUIDELINES OF THE POLICY ON DATA HANDLING TOWARDS OUR CUSTOMERS

 

2.1 Face-to-face activities

By taking one of our programs, participants give their consent to share personal information with their classmates for networking purposes. The agreement that they must sign is called: "PRIVACY AGREEMENT classmates."

What type of information will be shared?

  1. Contact information: for example: full name, country of origin/residence, e-mail, telephone number.
  2. Personal information: e.g. profession, company and other profile information
  3. Your image: for example, your professional photograph

What is the purpose?

Networking with your classmates. The information disclosed will be solely and exclusively with your classmates and applies only to the programs on the campuses of INCAE and other physical spaces where our classes are taught and / or events that are linked to INCAE. Likewise, the institute may publish photographs taken in class on its official social networks in order to show part of the experience INCAE in our programs, without this implying the disclosure of your name and/or personal data.

When activities are attended, it is assumed that the person who has reached INCAE has had access to our web platforms for registration in the corresponding program. In some cases, a person may not have had such contact, so it is necessary to review and sign the acceptance of the "...".5. Informed consent to the use and handling of data.".

 

2.2 Digital channels (such as websites or mobile applications) and printed applications, forms or fill-in documentation.

In the first instance, by using our digital channels, you consent to the collection and use of your information in accordance with this privacy policy.

A. How do we collect and use personal information?

We collect different categories of information in circumstances where you provide us with data. This data is either collected automatically or obtained from third party sources.

- Admissions and financial aid

When you apply for one of our programs, courses or seek financial assistance, if available, we collect and use various pieces of personal information. The primary source of information is the online application form. We may request some additional information from you for recruitment activities, such as master's program entrance interviews. The data collected during the admission process is used primarily for the purposes of admission itself, financial aid evaluation, if applicable, and, if you are eventually admitted to one of our programs, to facilitate your stay during the course of these programs (e.g., providing your data to the Academic Records department for appropriate registration).

  • Consider your candidacy for admission to your chosen program and process for assistance.
  • Facilitating the operation related to the admission and decision making process and support
  • Respond to your queries and communicate the decisions of the help desk

How will my data be used if I am admitted to the program?

Once you have been admitted to the requested program, we will share your information with the different internal units that support or are related to the services we provide you. The data shared with each area varies according to the services offered by each of them. For example, it will be usual to share your full name and institutional e-mail to attend you when you need it.

 

- Alumni & Donors

We collect and use various personal data about alumni, donors, partners and prospective donors from various sources including data you provide to us, for example, when you update your alumni or donor profile, connect with us through social media, complete a pledge or donation form, or attend events INCAE. - Center for Inclusive and Sustainable Leadership (CELIS)

We collect and use various personal information about our candidates and participants in Center for Inclusive and Sustainable Leadership (CELIS) programs and initiatives that you provide to us before and throughout your stay at INCAE, for example, when you apply for one of our programs.

  1. Facilitate contact between INCAE, CELIS and yourself.
  2. Determine eligibility to participate as a CANDIDATE in their programs.
  3. Monitor the performance of each of the CANDIDATES at each stage of their programs.
  4. Promote its programs with the purpose of expanding them or seeking sponsorships and participants for the organization of subsequent related events; or future programs of INCAE related to women's education.
  5. Contact the CANDIDATE to ask for feedback on her programs, and products or services from INCAE.
  6. Send you information about promotions, products and services from INCAE or third parties.
  7. Be used to promote future editions of your programs.

- Latin American Center for Competitiveness and Sustainable Development (CLACDS)

The Latin American Center for Competitiveness and Sustainable Development (CLACDS) and our partners collect your personal data when you apply or register for one of our programs, events offered and/or services offered. The main purpose of data collection is to provide you with our course offerings, once admitted to the program, provide the course, program and, if applicable, evaluate your performance to obtain a certificate. In addition, our researchers may collect personal data as part of a study or research in which you have consented to participate. What is the purpose of the processing?

LACE seeks to stimulate the economic growth of the Latin American region through experiential learning, training and specialization of entrepreneurs, research and knowledge creation. It is the enabler of the birth of many star-ups, their acceleration and success in local and global markets. It is also a tool available to Latin American entrepreneurs who want to move forward with their business idea and require support during the process of growing their business. We process the information collected for the following purposes:

  1. Training and specialization in the area of entrepreneurship.
  2. Development of networking sessions.
  3. Incubation processes for ideas developed at the center.
  4. Academic research.
  5. Keep you informed about talks, events and other activities of the center.

What is our legal basis for processing?

We process your data for the purposes described above and to facilitate transactions requested by you and to fulfill our contractual obligations (e.g., supporting graduates through entrepreneurship programs); for our interest as a company (e.g., following up on your business idea and providing a catalog of future programs).

 

Library System

The Library System at INCAE is committed to protecting the data privacy of its users who use digital and physical media to access its collections. Any data that may be collected is for the sole purpose of administrative use and access control to the various materials provided by the Library.

What data do we collect?

We and some of our software vendor partners that we use in the Library, collect some data such as your email, name, material consulted, material requested on loan, among others.

What is the purpose of the processing?

We use this information to track trends in the use of materials, to secure the copyrights of the owners of the material in our custody, and to fulfill the purposes set forth in this policy. Also, our vendor partners may use some of your information to enforce this policy regarding copyright and material usage.

What is our legal basis for processing?

We process your data for the purposes described above and to facilitate access to academic materials and to fulfill our contractual obligations (e.g., to provide new academic materials and/or more units).

 

 

2) Personal data we obtain from third parties

In some instances, we obtain your consent to use your data from third party sources:

We work with service providers and partners such as in-app forms (e.g., Instagram), payment processors (e.g., Network for Good) to offer our products. Some of these providers or partners have access to your personal data (e.g., when you log in to the app) and that may be shared with us.

Supplementary personal data

These are personal data that could come to us from public or private databases of companies or institutions with which you have consented to share your data and therefore, to be shared with partners of those companies as it could be our case.

In addition to the uses described above, we may use your information for the following purposes:

  • Develop our operations and manage our academic offerings.
  • Respond to requests from our accrediting and regulatory bodies.

  • Share virtual or physical events that we carry out in the institution.
  • To ensure a unique academic experience.

5) Commercial, marketing or networking uses

Networking

One of the main objectives of INCAE is to facilitate networking among participants in classes, programs, events and other activities. Under this premise INCAE could share basic information such as name, company, email only and exclusively with classmates and only in the programs of the campuses of INCAE and other physical spaces of third parties where our classes are taught and / or events that are linked to INCAE. Likewise, the institute may publish photographs taken in class on its official social networks in order to show part of the experience INCAE in our programs, without this implying the disclosure of your name and/or personal data.

Commercial and/or marketing uses

In order to provide potential companies and individuals with a video or photographic testimonial of your experience in the INCAE programs, we may ask you to provide additional consent under the document "7. Informed Consent - Commercial". The above will allow INCAE to promote the sale of products and/or services of the institution, provide services to those who show interest, as well as to carry out commercial prospecting activities. The information disclosed will be solely and exclusively for the purposes described above and applies to the programs on the campuses of INCAE and other physical spaces where our classes are taught and / or events that are linked to INCAE. Likewise, the institute may publish photographs taken in class on its official social networks in order to show part of the experience INCAE in our programs, without this implying the disclosure of your name and/or personal data.

 

 

6) Data retention

We will retain your data in our databases for as long as necessary and for the purposes previously indicated, unless you tell us otherwise.

While we process your personal data based on a legitimate interest, we will generally retain your data in a particular interest taking into account the fundamental interest of both parties.

While we use your data based on your consent, we will retain it for a period of time necessary to process the activities you have allowed us to process, taking into account your rights, the circumstances and the deletion of your contact data when necessary.

 

 

B. How we share your personal information

The personal data we collect on INCAE is managed internally within the organization. However, in some very particular cases we may share some of your data for academic purposes, as indicated in the examples below:

  • With other schools in agreement where specific modules or programs are developed. For example: ESADE in Spain, CKGSB in China, BABSON in the United States.
  • With recruiting partners who have a potential interest in hiring our graduates.
  • With cooperation partners such as MasterCard for the LEADS program.
  • With partners of financial entities that provide loans to students to attend our programs, such as CONAPE.
